Grants Reporting to the Board
The Board of Governors (BOG) requires that the Chancellor keeps them updated on potential commitment of College resources or receipt of funding via a BOG report. This process provides a mechanism for the Board to support and approve a grant proposal before it is funded. Programs cannot begin to spend grant funds until the Board approval is given. It is therefore critical that a Board of Governors’ report and approval is secured right after the submittal of a grant proposal to ensure timely implementation of grant-funded programs when funded. Upon the Grant One-Stop Center’s (GOSC) receipt of your grant proposal, an e-mail will be sent to the Principal Investigator with a copy to the President, the Provost/Executive Vice Chancellor as a reminder of the deadline and corresponding Board of Governors meeting date for which your Board report will be included as an agenda item. The Grant Proposal Report and Title must be e-mailed from the Campus President’s office to the GOSC Director. These guidelines have been in effect since June 2004. Reviewing grant proposal reports from the Board of Governors Meeting books that were published from June 2004 and onwards may be helpful also.
- Reports should be thoroughly proofread and checked for compliance with the guidelines before being sent to GOSC. GOSC staff will review the reports for compliance to reporting guidelines and provide the submitting author with needed changes, if necessary. If any Board reports require extensive revisions in format or content, GOSC staff will notify the submitting author by e-mail, before forwarding the Grant Proposal Report to the Provost/Executive Vice Chancellor. After the Provost/Executive Vice Chancellor review and approval of the document, the Chancellor’s office will be provided with a hard copy of the reports for his signature.
- The revised report must meet that month’s deadline or it will be automatically placed on the Board of Governors agenda for the following month.
