Chancellor's Cabinet Meeting

1.       Board Agenda Items (R. Flores)

Dr. Flores stated that the Board of Governors agenda should be set before the reports are generated.  A regular process will be established where reports follow the agenda.

Follow-up:  A list of all agenda items from last fiscal year will be provided to Cabinet.

2.       Presentations

2a.    PCC Student Performance at UA – Rick Kroc (R. Flores)
Mr. Kroc distributed copies of grade distribution comparison of course sequences in Math and Organic and Biochemistry for Pima and the U of A.  Mr. Kroc noted that the course grade distributions in Biochemistry and College Algebra taken at the U of A were compared by institution hosting the pre-requisite course.  The data is housed in the Arizona State System for Information on Student Transfer (ASSIST).

2b.    Data Needs Progress – Heather Tilson (R. Flores)
Dr. Tilson distributed an updated report on Prime Data requests.  Dr. Tilson noted that there are some areas where data is not available.  A timeline will be provided by June 15. Of the unavailable data, employee absentee rates by day of week – report to be ready February 15. 

3.         Policies and Procedures

3a.    SPG-4201/BB:  Faculty Hiring Process
Provost Miles noted that PCCEA is concerned that faculty was not given enough notice with regard to out-of-cycle hiring and wanted to create another SPG with specific dates.  Instead of creating another SPG, the following language will be added to number 21 of the current SSPG:  As part of Step 1, members of the CDAC will be provided with a timeline showing target dates for the out-of-cycle recruitment(s).

Action:  Approved for posting.

4.       Follow-up

4a.    Emergency Response Plan (D. Bea)
EVC Bea updated Cabinet on the changes made since the last time this item was presented.  Dr. Bea noted that there should be at least 5 Campus Emergency Management Teams for each campus.  The deadline for submitting names for the Campus EMTs and Campus Action Teams to Dr. Bea is May 30.

Action:  Approved.

5.         Action Items

5a.    Travel Authorization Form (D. Bea)
Dr. Bea reviewed the newly revised Travel Authorization Form.  After a brief discussion, the form will be revised and brought back to Cabinet for approval.

6.       Information Items

6a.    Student Life Internal Controls Final Report (C. Fugett/S. Lee)
Presidents Fugett and Lee presented information on the Student Life Internal Controls report.  The committee was charged to review policies and procedures as they relate to internal controls for Student Life clubs and activities.  A status report will be provided at the end of June.

6b.    Adjunct Faculty Recruitment Strategy (R. Ramirez)
Vice Chancellor Ramirez informed Cabinet that HR plans to:

  1. 1.   Update the access list for the Adjunct database

    1. 2.   Update Adjuncts in the database (send letters to Adjuncts currently on file to determine who wishes to remain on list; Human Resources updates and manages the database as responses are known)
    2. 3.   Recruit Adjuncts for hard-to-fill disciplines (Advertise in:  CareerBuilder; Chronicle for Higher Education; Inside Higher Education; Specialized advertisements
    3. 4.   HR Analysts review eligible applicants from faculty recruitment to identify potential Adjuncts
    4. 5.   Organize E-Fair to recruit Adjuncts
    5. 6.   Contact graduates from ASU and UA

Presidents were encouraged to work with their Deans to make sure everyone is up-to-date.
