Chancellor's Cabinet Meeting

1.       Policies and Procedures (D. Gifford)

1a.    SPG-1505/AB:  Sex Offender Notification
Assistant Vice Chancellor Gifford noted that this SPG was from the Safety Committee who has been working on it for the past two years.  The language has been reviewed by legal who suggested revising the language in the Contract Workers section (D), to say "College contracts shall include a provision prohibiting the contractor from using registered sex offenders on College property unless express permission is provided by the Executive Vice Chancellor for Administration." President Fugett will take this language back to the Safety Committee prior to posting the policy.

1b.    SPG-4201/CA:  Disclosure of Conflict of Interest – Pecuniary or Proprietary Interest
This SPG began last year when it was discovered that PCC had no SPG on Conflict of Interest.  This SPG is based on state law. This policy will return for further discussion at the next Cabinet meeting.

During the summer, no policies will be posted but Cabinet will continue to review and edit needed polices.

2.       Follow-up

2a.    FY 2009 Course Fee Changes (D. Bea)
Executive Vice Chancellor Bea distributed revised copies of the proposed 2009 Course Fee changes.  It was noted that budget adjustments would be made for program-based costs that should not be funded through student fees. 

3.      Information Items

3a.    Presentation on New Personnel Action Request Form (R. Ramirez)
Vice Chancellor Ramirez distributed copies of the updated Personnel Action Form.  The new form will be called Personnel Action Request (PAR) and will include the following additions:

  • drop down menu containing reasons for the job ending in the “Termination” field
  • leave of absence field “LOA” with a drop down menu of all available leave types
  • “Supervisor PCC ID” this field will be removed from the PAR when the Banner forms are updated
  • “Campus/Bldg/Room” and “Fax” to keep the on-line directory current.

Follow-up:  Drs. Bea and Ramirez will review the leave of absence drop down menu to add “Decease”.  Also, training will be scheduled for those areas that need it.

3b.    Grants Expense Oversight (D. Bea)
Executive Vice Chancellor Bea noted that the process for reviewing grants has changed.  Effective immediately, all grants are to be review by the Grants One-Stop office before going to Finance.  The Grants office will make sure the expenses listed on the grants are allowable expenses.

4a.    Nominations for the Valle del Sol’s 2008 Award – Deadline:  April 25, 2008
Cabinet was asked to review the nomination paperwork and consider nominating someone.
