Chancellor's Cabinet Meeting

Present: Chancellor Roy Flores; Provost and Executive Vice Chancellor Suzanne Miles; Executive Vice Chancellor David Bea; Vice Chancellors Kirk Kelly and Raul Ramirez; Presidents Christal Albrecht, Lou Albert, Johnson Bia, Charlotte Fugett, Jana Kooi, and Sylvia Lee; Assistant Vice Chancellor and Vice Provost Brigid Murphy 1. Presentations 1a. IT Security – Brian Basgen (K. Kelly) Vice Chancellor Kelly introduced Mr. Brian Basgen, IT System Architect whose presentation was on IT Security. Mr. Basgen noted that the overall goal is to protect information (confidentiality, availability & integrity), making sure the right people have access to the right information. 1b. ArizonaCareer Information System (AzCIS) Demonstration (J. Bia) President Bia introduced Ms. Virginia Chomiak, Career Center Specialist and Ms. Gayle Morrison, Ed Support Faculty who presented background information on the Arizona Career Information System (AzCIS). The Arizona Department of Education is the provider of the AzCIS System and students can access the system through MyPima. Students are also able to personalize their education and career action plan. 2. Follow-up 2a. Draft Disaster Preparedness Plan (D. Bea) Executive Vice Chancellor Bea stated that the operational aspect of the plan is based on the National Incident Management System (NIMS). This system is used by the Department of Homeland Security and by other agencies throughout the United States as the basis for emergency response management. After a brief discussion, there was some concern that the plan outlined exactly where the Executive Management Team (EMT) would meet in case of an emergency. This language will be revised. Follow-up: Cabinet was asked to review the plan and this item will come back to Cabinet for approval. 3. Action Items 3a. Travel Manual (D. Bea) Executive Vice Chancellor Bea noted that the suggested changes received from Cabinet members were incorporated. Action: Approved. 3b. Selection of Curriculum Advisory Committees (R. Flores) Chancellor Flores questioned the current process for advisory committee selection. Does the College have a general mission for advisory committees? How they work? What is the charge? Who chairs the committees? Chancellor Flores noted that executive officers and board members are not to serve on advisory committees. Follow-up: Presidents Bia, Albert, Albrecht and Advanced Program Manager Carol Hutchinson will work together to come up with suggestions on the process for selecting members to Advisory Committees. Cabinet was asked to review the membership of their advisory groups and see if there are gaps and if we are reaching the community. This item will come back to Cabinet April 30 for review and approval. 4. Information Items 4a. Update on current IT projects (K. Kelly) Vice Chancellor Kelly distributed copies of the IT projects currently underway. The list contains 34 defined projects, 12 completed and 22 to be completed this year. 4b. 40th Anniversary (J. Kooi) President Kooi requested Cabinet to send her any ideas they may have for the 40th Anniversary celebration. Some suggestions included: - Oral History
- 1st Responders, i.e. EMT, Firefighters
- Focus less on PCC and more on the community
- Use theme for All College Day
- Original Board Members, Founders – i.e. Don Shropshire, Esther Tang, Eddie Auslander – see what their hopes were for PCC

Elections: Employees of a community college cannot influence the outcome of an election, i.e. cannot use community college district personnel, equipment, materials, buildings or other resources for the purpose of influencing the outcomes of elections.
