Presentation by the Exeter Group – Joe LeCluyse

Mr. LeCluyse noted that between September 2007 and January 2008, the Exeter Group consultants worked with Pima’s staff to identify areas where the College could transform its student services, in accordance with Pima’s 2006-2008 College Plan. 

Cabinet Meeting

1.       Policies and Procedures

1a.    SPG-1302/AB:  Contracts
Action:  Approved for posting.

1b.    SPG-4006/AA:  Drug and Alcohol Testing, Reporting and Education
Cabinet was asked to review the modifications made to this SPG.  This item will come back to Cabinet.

2.       Follow-up

2a.    Course Development Online (D. Gifford)
President Kooi led a discussion of changes to the online class development and scheduling procedures. Community Campus will remain the enabler, campus administrators will have new roles and responsibilities and OPD will be asked to help coordinate the training that will be necessary for all parties. The new platform will allow for greater flexibility for both campuses and faculty.  These procedures were taken from the draft RG/SPG 3118 series in place of adopting formal policy.

2b.    Travel Manual (D. Bea)
Cabinet was asked to review the manual and send feedback to Dr. Bea by end of business on February 8.  This item will come back to Cabinet for adoption.

2c.    Student Services Survey Fall 2007 Executive Summary – Heather Tilson (R. Flores)
After a brief discussion of the previous survey, Chancellor Flores requested consultation with a professional statistician to help determine the experimental design and parameters of the next survey.

2d.    District and Campus IT Organization (K. Kelly)
Vice Chancellor Kelly distributed copies of a draft Skills Inventory check list that he will ask the IT supervisors to help develop/design.

2e.    Full-time Employee Teaching Load (R. Flores)
Full-time employees can teach up to a maximum of 5.1 load hours per semester.  For this purpose, summer is considered as 1 semester.  Division Deans can teach one course a year as part of their regular job.  There will be no flexing of hours to teach.  Contracts will include language similar to:  “I certify that I am not teaching more than 5.1 load hours at Pima Community College”.

3a.    Update on current IT projects (K. Kelly)
This item was tabled.

3b.    Student Response Form Processing (R. Ramirez)
Presidents Albrecht and Albert will look at the current information being provided to the campuses and will develop a standardized format.  Campuses are to arrange to have someone on their campus type the handwritten comments on the evaluation forms for distribution to the faculty.

3c.    Role of Community Resource Person as described in Faculty Personnel Policy Statement Article III, Section B.1.c. (p. 19) (R. Ramirez)
This is currently being discussed in Meet and Confer.

3d.    Fingerprint & Licensing Requirements for Certain Programs (R. Flores)
Students are not being advised that they have to pass fingerprinting in order to work in their field of study.

Follow-up:  Campuses are to provide a list to the Provost of the programs they offer and their restrictions and the District Office will do the same.  Due date:  March 15.

4.       Information Items

4a.    December Graduation – Discussion (R. Flores)
The Recognition and Events Standing Committee was asked to research the possibility of hosting a December graduation.

4b.    Draft Disaster Preparedness Plan (D. Bea)
Executive Vice Chancellor Bea will distribute the draft plan via email.  This item will come back to Cabinet.

5.       Significant Events

5a.    PCC/UA Breakfast – April 2, 2008, DCO, B-218 (D. Gifford)
Cabinet was asked for agenda topics for the upcoming PCC/UA Breakfast.
