Chancellor's Cabinet Meeting

Present: Chancellor Roy Flores; Provost and Executive Vice Chancellor Suzanne Miles; Executive Vice Chancellor David Bea; Vice Chancellors Kirk Kelly and Raul Ramirez; Presidents Lou Albert, Johnson Bia, Charlotte Fugett, Sylvia Lee and Mary Vanis; Senior Assistant to the Chancellor Donna Gifford; Assistant Vice Chancellors Imelda Cuyugan and Lynne Wakefield

1.       Exemplary Programs (L. Albert)

President Albert presented the Associate Degree Nursing Program.  West Campus offers a Practical Nurse (PN) Certificate program and a Registered Nurse (RN) Associate of Applied Science program.  Over the past three years, the program has nearly doubled, now admitting 100 students/semester into the traditional program.

2.       Policies and Procedures

2a.    SPG-4006/AA Drug and Alcohol Testing, Reporting and Education
Following discussion, this item will be brought back to the next cabinet meeting.

3.       Follow-up

3a.    Facilities Issues (D. Bea / K. Kelly)
Executive Vice Chancellor Bea noted that for off-hours emergency, contact the Campus Plant Managers, and dispatch.  The dispatch can be reached at 206-2700.  The district evacuation plan should be available in draft form within the next two weeks.  Campuses will have specific evacuation plans geared towards their campus.

3b.    Accounting for Time (R. Flores)
Complaints have been received that employees are not accounting for time accurately.  Example, coming in at 10:00 am due to a doctor’s appointment but timesheet does not reflect this appointment.
Follow-up:  President Fugett along with Vice Chancellors Kelly and Ramirez and EVC Bea will come up with suggestions to ensure compliance.

3c.    PerceptIS Update (K. Kelly)
Vice Chancellor Kelly distributed data in connection with the helpdesk support.  30,000 individuals (unduplicated) logged on to MyPima since August 1.

4.       Action Items

4a.    Practical Nursing Program Approval (J. Kooi)
This item was tabled.

4b.    Defining the Information Needed for Good Decision Making (R. Flores)
Chancellor Flores would like to hold a 4-hour study session on a single topic – to define information needed to make good decisions. 

4c.    Campus Events/Invitations to Dignitaries (R. Flores)
Chancellor Flores informed Cabinet that invitations to dignitaries for campus events will come from the Chancellor’s office.  When inviting Board members, all members are to receive an invite, when inviting elected officials, contact AVC Cuyugan first.  If a Board member or elected official attends unannounced, notify the Chancellor immediately.

4d.    Business Processes Review (D. Bea / S. Miles)
EVC Bea noted than an RFP was submitted looking for firms that evaluate higher education institutions.  Exeter Group was selected to help us eliminate redundancy.

5.       Information Items

5a.    Night-time Enrollment (R. Flores)
Chancellor Flores distributed copies of an executive summary entitled “Student Registration Analysis Reports:  Day, Evening & Weekend, and Distance Education.”

5b.    Pima Council on Aging Partnership Plan of Action (R. Flores)
In follow-up to the July 3 meeting, Mr. Forrester, PCOA submitted a formal proposal to the Chancellor.  After a brief discussion, the plan of action will be converted into a MOU (Memorandum of Understanding).

5c.    Hardcopies of Reports to Chancellor (R. Flores)
Chancellor Flores asked cabinet to send hard copies of the departmental reports sent electronically.

5d.    Correspondence (copies given to Chancellor and Presidents) (R. Flores)
This was another reminder from the Chancellor that before sending any emails, make sure the appropriate supervisor is copied unless it is routine.  Please make sure that whoever reports to you, copies you on appropriate emails.  When communicating on behalf of the College, copy the Chancellor.

5e.    Summer Career Academies (S. Miles)

5f.     Distribution of Small Cards on Accreditation Criteria (S. Miles)
This item was tabled.

5g.    Announcement of Student Activity Fee Reduction (S. Miles)
Chancellor Flores informed Cabinet that this will be last year for the student activity fee.

5h.    PCC's 40th Anniversary (J. Kooi)
Chancellor Flores asked Cabinet to start thinking about how to celebrate PCC’s 40th Anniversary. 

Some suggestions were:

  • highlight a community member each month
    • have small events leading up to a culminating dinner

6.       Significant Events

6a.    December Board Hosted Event and Recognition (R. Flores)
Cabinet was reminded of the Board of Governors Recognition Event being held in December.  Deadline for submission is October 26, 2007 with nominees being reviewed and approved at the November 6 Chancellor’s Cabinet meeting.
